The quick answer: confirm a place, a time and a contact
For an excursion pickup in Punta Cana, you need three things before leaving your room: the exact meeting point, the confirmed collection time and a working contact for the person organising your tour. 'Hotel pickup included' describes a service; it does not tell you which entrance to use or how long the journey will take. Save the final confirmation on your phone so you can read it without WiFi.

Pickup time, departure time and tour duration are different
An advertised morning departure may refer to a boat leaving its marina or an activity starting at its base. Your collection can be earlier. Likewise, an activity described as a half-day may take more of your day once transfers and other collections are included. Ask for the expected time from your accommodation back to your accommodation, not just the time spent on the boat or trail.

Read the published schedule as planning information and confirm the actual pickup for your hotel and date. A listed window is not an instruction to stand outside for that entire period. Ask which time applies to you, and be at the agreed point by that time.
Which hotel lobby should you use?
Large properties can have a main lobby, separate sections and an entrance used for excursions. A familiar brand name may also describe several neighbouring hotels. Send the full name shown on your reservation, including any adults-only, palace, beach or club designation. Then ask for the meeting point in words you can recognise: lobby name, entrance or another clear landmark.
Reception can help you find that location, but your tour organiser should confirm it. If security or hotel staff direct you somewhere different, contact the organiser before changing the meeting point. Do not leave the property on foot to look for a vehicle unless a specific, safe alternative has been agreed. The point is a clear handover, not guessing which white van might be yours.
Airbnb, apartments and gated communities
For a rental, send the accommodation name, full address and a location pin privately to your booking contact. Explain whether the vehicle can reach the building, whether there is a gate and which entrance guests use. A pin for the centre of a residential development may be some distance from the place a driver can stop. 'At the Airbnb' needs a more precise agreement.
Ask whether collection is from the door, reception, security gate or a nearby accessible meeting point. Coordinate access with your host when necessary; do not assume a driver can enter a controlled property. Avoid sending door codes or unnecessary private booking documents. Shared transfer or private vehicle: what actually changes?
A shared collection can involve other hotels, a change of vehicle or a meeting hub. Ask what applies to your particular departure. A small group on a boat does not prove that the road transfer is exclusive, and a private ride does not make the excursion itself private. These are two separate services. Bávaro, Cap Cana and Uvero Alto are not interchangeable collection points. Distance, hotel access and the day's route can affect timing and any supplement. Confirm the total arrangement before paying or committing to your schedule. For a shorter activity such as the buggy and Macao excursion, check the transfer as carefully as the driving session: a short experience can still involve a significant journey from your hotel.
Your checklist for the day before
Check the date, tour name, full accommodation name, number of adults and children, exact meeting point and collection time. Confirm the return location, expected return range, what transport is included and any agreed additional charge. Ask who to contact that morning. If you have received a revised time, acknowledge it so both sides know which version is current.
Prepare your day bag according to the tour instructions, charge your phone and keep the confirmation accessible. The driver has not arrived: a sensible sequence
First, check that you are at the confirmed place on the correct date and that no updated message has arrived. Contact the organiser using the number in your booking confirmation. State the tour, booking name and current meeting point; ask for a status update and instructions. There is no universal waiting period that makes sense for every route, so this guide does not invent one.
Stay at the agreed point while you clarify the situation, unless conditions make it unsafe. If the organiser proposes another location, confirm exactly where and how to get there safely. Do not pay a stranger for a replacement transfer or take a taxi to an assumed marina without agreement: the group may depart elsewhere. If no workable collection can be arranged, ask how the booking will be handled under its actual terms. Keep the messages.
Children, mobility needs and arranging your own ride
Tell the organiser children's ages and request any needed restraint before booking; confirm availability and suitability rather than assuming a seat will appear. For mobility needs, discuss steps into the vehicle, wheelchair dimensions, folding or lifting arrangements and walking distance at the meeting point. Accessible transport and an accessible activity are separate questions. A request alone is not a confirmed arrangement.

The return journey and a message you can send
Before setting off, confirm whether you return to the same place and the realistic return window. Traffic and operations can change a day's timing. Do not treat an estimated return as a guarantee for a flight, wedding ceremony or another prepaid activity. If you have a fixed commitment, mention it before choosing the tour so the operator can assess whether the plan is sensible.
Copy and adapt: Hello, please confirm our pickup for [tour] on [date]. We are [adults/children] staying at [full hotel name or rental]. Which exact lobby or meeting point should we use, and at what confirmed time? Is the transfer shared or private, are there any extra costs, where will we be dropped off and what return window should we plan for? Who should we contact that morning?
Send your accommodation details privately through your existing booking conversation. A useful answer is specific to your date and property. If a point is unclear, clarify it before departure rather than building the day around an assumption.
